Variances between supplier quotations often stem not from margin differences, but from fundamental divergences in assumed engineering specifications.

An effective OEM Request for Quotation (RFQ) does not demand that every specification be frozen from day one. Rather, its chief objective is to cleanly segregate confirmed non-negotiable requirements from areas where factory technical proposals are sought, establishing a clear framework for accurate manufacturer evaluation.

1. Define Functional Application & User Context Over Pure Aesthetics

Dimensional callouts must define internal vs. external boundaries, seam allowances, and zipper margins. For brand branding, specify exact datum points (e.g., 'centered horizontally, 25mm below upper edge') rather than vague directives like 'roughly centered.'

If you cannot determine specialized raw material codes (e.g., specific synthetic PU leather grades), articulate performance characteristics—such as matte tactile hand-feel, tensile stiffness, or shape retention—and request supplier swatches. Articulating requirements clearly does not obligate you to solve every chemical engineering detail independently.

6. Synchronizing Quotations & Engineering Revisions to a Single Specification Baseline

When reviewing incoming supplier proposals, verify underlying specifications and order volumes before evaluating headline numbers. Highlight unauthorized material substitutions, excluded retail packaging, or unanswered secondary processing. Treat pending cost items as open risks rather than assuming they are zero.

If prototype testing prompts dimensional or color revisions, immediately update the RFQ, purchase order, and factory manufacturing instructions.
